Terms & Conditions
1. General
These Terms & Conditions govern the business relationship between GTA Beds P.C. (“GTA Beds”, “we”, “us”, or “our”) and its B2B clients and partners, including tour operators, travel agencies, DMCs, wholesalers, OTAs, and other travel professionals (“Partner”, “Client”, “you”, or “your”).
GTA Beds P.C. is registered in Greece with registration number 133357201000 and tax number 800636330, with its registered address at Charokopou 2, Kallithea, Athens 17671, Greece.
By using GTA Beds' services, making a booking, requesting an agreement, or entering into a commercial cooperation with GTA Beds, the Partner accepts these Terms & Conditions unless otherwise agreed in writing.
2. B2B Services
GTA Beds provides B2B accommodation services, including hotels, resorts, room allocations, group accommodation, seasonal programs, charter accommodation, and negotiated hotel agreements.
Our services are intended for professional travel businesses and are not primarily intended for direct consumer bookings.
Specific commercial agreements may contain additional terms, rates, allotments, payment conditions, cancellation policies, release periods, and other provisions that take precedence over these general Terms & Conditions where expressly agreed in writing.
3. Hotel Rates & Availability
All rates and availability are subject to confirmation at the time of booking.
Rates may vary depending on:
- Destination
- Hotel
- Travel dates
- Room category
- Board basis
- Number of guests
- Length of stay
- Seasonal demand
- Allocation
- Contractual conditions
Special rates or commercial offers are subject to the conditions communicated at the time of the offer.
A quotation or availability request does not constitute a confirmed booking unless GTA Beds provides written confirmation.
4. Special Agreements & Charter Programs
For tour operators and charter operators, GTA Beds may provide special rates, seasonal agreements, room allocations, series bookings, back-to-back programs, and dedicated hotel conditions.
Such arrangements are subject to specific written agreements and may include minimum room commitments, release periods, payment schedules, cancellation conditions, deposits, or other commercial requirements.
Where a charter or series program is cancelled, reduced, postponed, or materially changed, the applicable conditions will be determined according to the relevant agreement and the conditions of the contracted hotel or resort.
5. Booking Confirmation
A booking becomes confirmed only after GTA Beds has issued a written confirmation or other agreed confirmation through the applicable booking channel.
The Partner is responsible for checking all booking details immediately after confirmation, including:
- Guest names
- Arrival and departure dates
- Number of rooms
- Room categories
- Board basis
- Special requests
- Cancellation conditions
- Payment requirements
Any discrepancy should be reported to GTA Beds immediately.
6. Payment Terms
Payment terms will be agreed between GTA Beds and each Partner and may differ depending on the commercial agreement, credit status, destination, hotel, booking type, and volume of business.
Where advance payment, deposit, prepayment, or a credit limit is required, the Partner must comply with the agreed payment schedule.
GTA Beds reserves the right to suspend or cancel services or bookings where agreed payments are not received within the applicable deadline, subject to the contractual terms.
7. Cancellation & Amendment
Cancellation and amendment conditions depend on the applicable hotel contract and the specific booking or commercial agreement.
Where cancellation fees, no-show charges, amendment fees, or other penalties apply, these will be communicated to the Partner as part of the booking conditions.
For group, series, charter, allocation, or special-rate bookings, different cancellation and release conditions may apply.
8. Hotel Services & Special Requests
Special requests such as connecting rooms, specific room locations, early check-in, late check-out, baby cots, dietary requirements, accessibility requirements, or other guest preferences are subject to hotel confirmation and cannot be guaranteed unless expressly confirmed in writing.
Hotel facilities, services, opening dates, restaurants, pools, entertainment, and other amenities may be subject to seasonal operation, maintenance, local regulations, or circumstances beyond GTA Beds' control.
9. Changes by Hotels or Suppliers
In exceptional circumstances, a hotel or accommodation supplier may need to modify, relocate, or replace a booking.
Where this occurs, GTA Beds will use reasonable efforts to provide an appropriate alternative in accordance with the applicable booking or contractual conditions.
10. Partner Responsibilities
The Partner is responsible for providing accurate booking information and ensuring that all relevant information, terms, cancellation policies, and travel conditions are properly communicated to its customers.
The Partner must also ensure that all required travel documentation, visas, passports, insurance, and other travel requirements are the responsibility of the traveler or relevant travel organizer, unless otherwise agreed.
11. Guest Conduct
Guests are expected to comply with the rules and policies of the hotel or resort.
Hotels may charge guests directly for damages, excessive cleaning, loss of property, or other costs resulting from inappropriate behavior, where permitted under the applicable hotel rules and law.
12. Force Majeure
GTA Beds shall not be responsible for failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, epidemics or pandemics, government restrictions, war, civil unrest, strikes, transportation disruption, infrastructure failure, or other force majeure events.
The applicable consequences of such events will be handled in accordance with the relevant agreement, hotel conditions, and applicable law.
13. Liability
GTA Beds acts as a B2B accommodation provider and intermediary/contracting partner in relation to hotels and accommodation suppliers.
Our liability, where applicable, shall be determined by the relevant commercial agreement, booking conditions, supplier terms, and applicable law.
Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot lawfully be excluded or limited.
14. Confidentiality
Commercial rates, negotiated agreements, allocations, special conditions, and other confidential business information provided by GTA Beds are intended solely for the Partner and must not be disclosed to third parties without prior written permission, except where disclosure is required by law or necessary for the performance of the agreed services.
15. Data Protection
Personal data will be processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (EU) 2016/679 (GDPR) where applicable.
Partners are responsible for ensuring that personal data supplied to GTA Beds has been collected and transferred lawfully and that all necessary notices and consents have been provided where required.
16. Intellectual Property
All trademarks, logos, commercial materials, content, pricing structures, systems, documents, and other intellectual property belonging to GTA Beds or its suppliers remain the property of their respective owners.
No intellectual property may be reproduced, distributed, or commercially used without appropriate authorization.
17. Third-Party Terms
Bookings may also be subject to the specific terms and conditions of the relevant hotel, resort, accommodation supplier, destination, or other service provider.
Where applicable, those specific conditions will form part of the booking agreement.
18. Changes to Terms & Conditions
GTA Beds may update these Terms & Conditions from time to time to reflect changes in its services, business operations, applicable legislation, or commercial practices.
The version applicable to a particular booking or agreement will be determined according to the date and terms of that booking or agreement.
19. Governing Law & Jurisdiction
These Terms & Conditions and the business relationship between GTA Beds and its B2B Partners shall be governed by the applicable laws of Greece, unless otherwise agreed in a written commercial agreement.
Any disputes shall be subject to the jurisdiction of the competent courts, subject to any mandatory provisions of applicable law.
